How to Connect WhatsApp to Your POS or Business System

In Malaysia, customers live on WhatsApp. So sending order confirmations, delivery updates, reminders and receipts over WhatsApp automatically — straight from your POS or business system — is one of the highest-impact upgrades a business can make. Here is how it works.

What "connecting" actually means

You do not want a staff member copy-pasting messages all day. You want your system (POS, booking tool, e-commerce, or custom app) to send the right WhatsApp message by itself when something happens — an order is paid, a booking is confirmed, a payment is due.

That is done through the WhatsApp Business Platform (API) — the official way for software to send WhatsApp messages at scale. It is not the same as the WhatsApp app on your phone.

What you can automate

  • Order confirmations and receipts the moment a customer pays.
  • Delivery / status updates ("your order is on the way").
  • Payment reminders for outstanding invoices.
  • Booking and appointment reminders.
  • Follow-ups after a quote or a missed call.

How it gets set up

  1. A WhatsApp Business API number. Set up through Meta or a provider (like Twilio or a local BSP). This can be a new number or a dedicated business line.
  2. Message templates. WhatsApp requires business messages to use pre-approved templates (to prevent spam). These get approved once, then reused.
  3. The connection to your system. A small piece of software listens for events in your POS/app and triggers the right template. This is the part we build.

What it costs

  • WhatsApp fees — Meta charges per message you send, and the rate depends on the type (marketing, utility, authentication). Replies inside a customer-service window are generally free. Budget a small per-message cost.
  • The integration — a one-time build to wire your system to WhatsApp, usually around RM2,000–8,000 depending on how many message flows you want.
